We have a vacancy for a newly created position of stock check-in Supervisor at our new facility in Weybridge, Surrey. This is a fantastic opportunity for someone with a background in live events, exhibitions or broadcast, who has team leader experience or someone who is looking to take the next step in their career.
The Check-In Supervisor is responsible for the efficient and accurate check-In of all stock into our warehouse. Determining high priority or quick turnaround items ensuring the efficient return of equipment back to our departments and to a ‘Ready to Rent’ status. The Supervisor will oversee a team responsible for processing and managing the receipt of all stock to the warehouse.
What will you do?
You will supervise, and work with, the check-in team and the efficient processing of returning stock
Warehouse and Equipment management
- Regularly review of upcoming Inbound orders to establish projected workloads.
- Oversee, manage and assist with the processing of daily inbound equipment relevant to the
- Check-In team, ensuring efficient order processing and throughput based on newly created guidelines and workflows
- Collaborate with Warehouse Management and Operations Team via Weekly and daily meetings alongside proactive discussions to understand Inbound Projects outside of the rental software.
- Forecast labour requirements, place request with Warehouse Management and plan accordingly based on availability.
- Forecast space requirements, place request with Warehouse Management and plan accordingly based on availability.
- Allocate tasks to team members in line with operational needs.
- Set regular Weekly and Daily Deadlines for completion of returning projects, highlighting time-sensitive or high priority items such as ‘Quick Turnaround Items’.
- Monitor progress throughout via our Rental Software and through in person communication.
- Review Inbound orders to re-cycle infrastructure to outbound projects where applicable.
- Check-In of all returning equipment with the aim of getting to 0% within the company’s rental software.
- Oversee and assist with the disassembly of equipment racks and organisation of all returning goods on a per project and per department resolution.
- Ensuring that our clients have returned all our equipment and flagging if anything additional has returned.
- Reporting to Line Manager/Warehouse Manager/Operations team/Relevant HODs of any incidents of damaged, lost or missing equipment.
- Monitor and improve throughput speed and efficiency within the department to meet time sensitive requirements and deadlines.
- Verify unreturned items using the company’s rental software with a high degree of accuracy.
- Collaborate with Inventory Manager on interrogating the MIA list
- Collaborate with your Line Manager and Warehouse Management Team, sharing observations and or opportunities where the department could improve efficiency to meet our regular time-sensitive requirements and deadlines.
- Identification and management of 3rd party owned equipment on project return. Ensuring subhired equipment passes to relevant department for de-prep and dispatch and any client or crew owned equipment is segregated for processing.
- Liaising with Head of Departments (HOD’s) as equipment has been processed through the Check-in Team and is ready to be handed off to the individual departments.
- Ownership of all HOLD equipment once received and processed into the building by the General Warehouse Team.
- Verifying all HOLD items are accounted for.
- Movement and mapping of equipment to designated HOLD Area
- Return of HOLD equipment to designated outbound area
- Maintaining an organised, safe, clean and tidy department at all times, including Processing Bays (1-6), Assignable Rooms and Bays on 1st Floor (1-12) and HOLD Areas on the Mezzanine.
- Assist with organisation of equipment within Truck Bays (1-4) if workload and capacity permit.
- Assist with organisation of equipment on Mezzanine Floor if workload and capacity permit.
- Operate the Pedestrian Stacker, Folk Lift and Reach Trucks if training and workload permits.
Staff Management
- Lead, train and motivate the check in team to ensure high performance and adherence to company policies
- Monitoring staff performance including attendance, punctuality and quality of work
- Monitor workflow and allocate tasks effectively, giving clear instructions, to meet operational needs
- To support & monitor employee wellbeing
- Deputise for line manager as required.
Health and Safety
- Ensure that all staff adhere to the Health and Safety policy at all times
- Securely and safely store hazardous stock
- Manage and report accidents in line with company policy
- To act as a Fire Marshall & first aider
Any other work deemed necessary for the smooth running of the warehouse
What skills and experience do we want?
- Previous team leader experience or someone ready to take the next step in their career
- A background in live sound, events, exhibitions or broadcast with hands-on experience and knowledge of audio-equipment
- A self-motivated person with a desire to learn, expand their skills and share their knowledge
- Excellent planning and organizational skills coupled with problem solving ability.
- A true team-player who is approachable, reliable and will always lead by example
- Exemplary attention to detail
- Excellent communicator both written and verbal
- Knowledgeable of all H&S practices and able to implement them
- IT literate with a knowledge of warehouse management systems and inventory control

*Our operating hours are 8am to 8pm Monday to Sunday. Standard working hours are 35 hours per week, 10am to 6pm, five out of seven days, Monday to Sunday with an unpaid break of 60 minutes. You may be required to work some shifts (8am-4pm or 12-8pm) and a reasonable amount of overtime.
